We're looking for a talented, detail-oriented and passionate Business Process & Systems Automation Senior Analyst to join our team and drive automation, systems integration, and business continuity initiatives across departments and teams in Rakuten Symphony.
The role will be responsible for managing and delivering digital transformation projects, automating reporting workflows, maintaining governance tools, and supporting business continuity planning across multiple cross-functional division. The role requires strong hands-on technical skills in SharePoint, Power BI, Jira, and AI toolkits, combined with solid project coordination capabilities.
The role collaborates closely with cross-functional stakeholders across product, engineering, and operations teams. It offers a unique opportunity for professional growth, providing broad exposure to product lifecycle management, business continuity frameworks, and enterprise systems integration within a rapidly expanding, international organization like Rakuten Symphony.
Job Duties
1. Product List Reporting & Automation
a. Develop and maintain the Product List mechanism, ensuring timely monthly publications remain on schedule
b. Redesign and migrate the Product List onto the Automated real time Product Governance function including full backend and frontend setup
c. Engage with Business Unit PICs to review, validate, and consolidate product list inputs in collaboration with relevant stakeholders
d. Maintain and update governance documentation, tools, and reference materials related to the Product List
2. Business Continuity Planning (BCP)
a. Actively contribute to and support the management of end-to-end Business Continuity Planning (BCP) initiatives alongside cross-functional stakeholders, including education, company improvement and overall communications
b. Collaborate with cross-functional teams to support risk assessments and Business Impact Analyses (BIA), identifying critical business processes, recovery time objectives (RTOs), and key dependencies to ensure continuity strategies remain relevant and effective
c. Coordinate and support BCP tabletop workshop activities and follow-ups, including scheduling and driving de-brief sessions with business units, produce and consolidate workshop documentation and outcomes, including: Evaluator reports, BCMS test reports, Workshop playbooks
d. Provide ongoing support to ensure business continuity plans remain current, relevant, and aligned with organizational resilience standards. Track action items, deadlines, and dependencies to ensure timely closure.
3. Tooling Modernization & Automation (GRCD - TMT Tracker / Integrations)
a. Execute migration of the TMT tracker from Excel to SharePoint List, including data structure design, field standardization, and usability improvements.
b. Build and maintain Power BI dashboards to provide operational visibility and tracking for tooling.
c. Develop and enhance automation to retrieve and populate Jira data directly into SharePoint, including expanding automated fields and supporting testing/validation.
d. Support feasibility assessment and coordination for connecting Salesforce to TMT, collaborating with technical and business stakeholders.
4. AI/Innovation Tool Support (as applicable)
a. Improve Operational Efficiency through Automation: Implement end-to-end quality assurance processes and automate key processes to reduce manual errors and improve overall efficiency, particularly in the Process Enhancement and Tooling project.
b. Centralize governance processes in Jira, define sub-tasks, and oversee automation for traceability.
c. Identify and implement process efficiencies to reduce delays while maintaining integrity of governance.
d. Monitor issues, provide feedback loops, and propose improvements to management.
e. Support testing, coordination, and status tracking for AI enablement initiatives (e.g., Rakuten AI Toolkit) where aligned to program needs.
5. Executive-Level Reporting & Preparation
• Prepare materials and facilitate pre-meetings for CEO-level committees (QPC, NPI approval meetings, etc.).
• Anticipate uncooperative or underprepared stakeholders and drive alignment prior to executive discussions.
• Consolidate quality metrics and project status into comparative dashboards.
Minimum Qualifications
• Experience: 8+ years in project/program management, business analysis, operations, or reporting automation roles within a technology or enterprise environment.
• Education: Bachelor's degree in a relevant field (e.g., Business, Engineering, Project Management) OR equivalent combination of education and experience.
• Technical: Proficient in project management methodologies and Jira for process management and automation. Working experience with SharePoint, Power BI and AI/automation tools.
• Leadership: Proven ability to lead complex, cross-functional initiatives, influence diverse stakeholders, and communicate effectively up to senior leadership (CEO/COO level).
• Process: Demonstrated experience developing, implementing, and optimizing governance frameworks.
Ability to balance process integrity with product team realities (practical flexibility).
Preferred Qualifications
• Experience with Power Platform (Power Apps and/or Power Automate) for workflow/reporting enhancements.
• Exposure to BCP/BCMS activities (tabletop workshops, evidence collection, test reporting).
• Experience supporting system integration feasibility efforts
• Background in governance, quality management, or compliance-related operational processes.
• Domain Knowledge: Experience in telecommunications, cloud, or a highly regulated industry.
