Description
The Student Information Systems (SIS) Specialist ensures the Snohomish School District’s SIS operates reliably and effectively across all schools, managing technical issues, system updates, and day-to-day operations. This role ensures accurate, complete, and consistent student information, manages security roles and user access, monitors and updates codes throughout the SIS, and oversees system configurations. In addition, the Specialist strategically interfaces with third-party platforms, ensuring the SIS integrates effectively with other educational technology systems. The role includes developing and maintaining documentation, implementing standard operating procedures, and providing guidance, support, and training to staff to promote accurate and efficient system use. This is a technical and strategic position that combines system administration, data management, compliance, reporting, and staff support.
Requirements
Performance Responsibilities/Essential Functions:
- Keep the Executive Director informed of significant items requiring review or action.
- Coordinate services with Washington School Information Processing Cooperative (WSIPC)/Skyward/Qmlativ and the EDS system, serving as the district’s primary security contact. Distribute relevant information from NWRDC or WSIPC to district users.
- Implement and maintain system security, user access controls, and account permissions for staff, students, and parents.
- Maintain in-depth knowledge of Skyward/Qmlativ capabilities; provide technical expertise and training to end users, create written guidance, and explain system interactions.
- Serve as a critical resource for district staff by actively listening to stakeholders, providing responsive support, and problem-solving to address SIS-related challenges; understand the system from all stakeholder perspectives to anticipate needs and improve user experience.
- Oversee data entry standards, record maintenance, and quality control to ensure accurate and complete student records.
- Develop, maintain, and troubleshoot custom queries, dashboards, and data extracts to support district- and school-level decision-making.
- Implement and communicate standard operating procedures for all SIS functions, including student records management.
- Provide district-level support for all SIS modules, including demographic information, enrollment, gradebook, scheduling, grading, transcripts, health records, test scores, special education, family and student access, and state reporting.
- Support curriculum and assessment areas by monitoring updates to state course codes, graduation requirements, and teacher endorsement codes; maintain curriculum descriptions and course defaults as directed to ensure alignment with standards.
- Assist teachers with SIS gradebook questions and grading options; update academic areas to ensure teachers are assigned to the correct course codes aligned with their endorsement areas.
- Strategically interfaces with third-party platforms to ensure SIS integration with other educational technology systems; utilizes Tableau and CEDARS for analysis and reporting; and assesses higher-level capabilities the district may adopt to enhance functionality.
- Manage Comprehensive Education Data and Research System (CEDARS) data collection and reporting.
- Ensure the accuracy and accessibility of student data in the SIS; communicate and educate building staff regarding data discrepancies.
- Coordinate data flow between the SIS and other information systems.
- Support data mining and custom report development; train staff in the use of reports to meet school and department needs.
- Prepare and submit the P210 Report.
- Upload state test scores into the SIS and support the recording of district-level assessments.
- Assist with state and federal reporting of district data.
- Perform year-end roll-up of student data; provide beginning-of-year and year-end instructions to buildings to ensure essential processes are completed. Create and manage student calendars within Skyward/Qmlativ.
- Provide student and staff information to contracted student picture vendors and upload student photos into the SIS.
- Participate in professional learning and training as determined by the district.
- Perform other duties as assigned.
