Description
This position supports employees requesting assistance from the Human Resources Department. Ability to interact and support employees at all levels of the organization. Confidentiality and professionalism required. Strong and proven customer service, problem-solving, research, organizational, and interpersonal skills required.
Position duties include handling family medical leave, leaves of absence, workers' compensation reports and claims, vacant positions/posting controls, scheduling and preparing for interviews, supporting all human resources functions, and assigning daily substitutes. Working knowledge of teacher certifications, teacher evaluations, TPE, and PE requirements preferred.
JOB DESCRIPTION
Title: Confidential Assistant – Human Resources
Organizational / Labor Relationship:
Status (FLSA): 12 month position, salaried
Reporting Relationships: Ascending – HR Director; descending - none
Position Summary: The Confidential Assistant maintains confidential information about district employees and external applicants that apply within the district. Confidential Assistant's also handle general HR office procedures as required and directed by immediate supervisors.
Knowledge / Skills / Abilities
Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition and grammar
Can demonstrate competency of administrative skills
Ability to utilize Microsoft Excel and Word, the Google platform, and school district specific software for reporting
Can independently operate office machines, including but not limited to: computer keyboards, printers, telephones, calculators, photocopiers and the like
Can demonstrate competency in record keeping and data bases
Can demonstrate competency in effective routine communication skills including proofreading, use of acceptable grammar and spelling, and oral communications
Essential Functions / Duties / Responsibilities
Processes all applications that come to the district for all job postings
Maintains confidential employee personnel and medical files
Schedules Central Office interviews
Prepares and distributes general correspondence, reports, and related items
Prepares state and federal reports specific to school district operations
Maintain employee professional staff listing
Organize job fair registration, coordination and preparation
Help organize and assist in the screening events
Track teacher certification compliance
Assists supervisor in maintaining appointment calendars and in appropriate administrative details
Performs other duties as needed or requested by the Director of Human Resources

Qualifications
Education: High school graduate or GED equivalent
Experience: Human Resource experience preferred
Physical Requirements
Ability to stand, bend, stoop, sit, lift, reach, communicate (vision, hearing, and speech), carry or convey sufficient weight to safely and effectively carry out functions, duties, and responsibilities
Ability to independently ambulate in and around school buildings and office areas
Ability to travel to and from assigned work locations without employer support
Is able to independently read, write, speak, and comprehend the English language
